Export your data from Zuuna

No lock-in: export any board to Excel or CSV, download your personal data as JSON (GDPR Art. 15) and delete your account with a 30-day grace period.

The most honest question to ask any tool is about the exit: can I get my data back out? It is not a question of distrust — anyone who pours years of project data into a tool deserves to know how it comes back. In Zuuna the answer is deliberately unspectacular: every board exports to Excel or CSV, laid out so you can import it straight back. Your personal data comes as one JSON file. And you delete your account yourself, no support ticket. All of it on every plan, including the free one.

What you need

  • A Zuuna account — the plan does not matter. Board export, data access and account deletion exist on every plan, including Free.
  • Access to the board you want to export.
  • Nothing else: no support ticket, no waiting.

1. Download a board as Excel or CSV

Open the board and pick the export from the board menu. You get an .xlsx or a CSV file — the whole board at once, no page-by-page, no hand-picking. This works for every board you have access to.

2. Check what the export contains

The file holds every card with all its fields — title, column, assignees, dates, custom fields too — and the tracked hours, right there in the sheet. Open it once in Excel or LibreOffice and look: what you read there is your data. No “contact sales for a full export” — the sheet is the full export of the board.

3. Test the way back: import the file again

The real proof against lock-in is the return trip: the export is laid out so Zuuna can import it straight back as a board — and so can any other tool that reads spreadsheets. The import is walked through step by step in Import an Excel spreadsheet as a kanban board. The importer detects the delimiter automatically, semicolons from German Excel included.

4. GDPR access request: your personal data as JSON

Beside the board content there is your personal data — profile, comments, tracked time, activity — as one machine-readable JSON file, one click from your account. That covers the right of access under GDPR Art. 15 and data portability under Art. 20 without writing a request. The download is deliberately not gated on any plan — a statutory right does not belong behind a pricing tier. It contains only your personal data; board content comes from the board itself, as in step 1.

5. Read up on where your data lives

Zuuna is hosted in Germany, and a data processing agreement (DPA) is there to read. If you are evaluating a tool through a GDPR lens right now, GDPR-compliant project management sums up what to look for.

6. Delete your account — with a 30-day grace period

Leaving is self-service too: you delete your account yourself and see beforehand exactly which workspaces are removed, preserved or left behind. Then a 30-day grace period runs — log back in during that window and the account is back as if nothing happened. Only after the 30 days is the deletion final. So export your boards before deleting, not after.

Troubleshooting

  • Re-importing the file fails. The importer has limits: 15 MB, 10,000 rows, 50 columns. Split a very large board into several files before importing.
  • You are looking for a full workspace archive. That does not exist as one click today — the path is board by board (step 1) plus the personal JSON file (step 4).
  • You deleted and regret it. Just log back in within 30 days — the account is restored.
  • You want to take document pages with you. Documents export to Word one page at a time — headings, tables and images intact.

FAQ

Do I get everything in one go?

Not as one click. The path is: each board as Excel or CSV from its own menu, plus your personal data as one JSON file. Document pages export to Word one at a time.

Can I import the Excel file back?

Yes — the export is laid out for exactly that. Zuuna imports .xlsx and CSV and detects the delimiter automatically, semicolons included. Limits: 15 MB, 10,000 rows, 50 columns.

Where is the data hosted?

In Germany. For evaluating tools through a GDPR lens, the GDPR-compliant project management page sums up the details.

Is there a DPA?

Yes — the data processing agreement is available to read at /en/dpa.

What happens when I delete my account?

Before deleting you see which workspaces are removed, preserved or left behind. Then a 30-day grace period runs: logging back in restores the account; after it expires, deletion is final.

Rebuild this step in your own workspace.

The guide takes a few minutes — it sticks when it is your own board underneath. 14 days of full access, no credit card.
